Award-winning! Smart Work 2025: E-form for teacher and substitute salary claims

The Smart Work page presents everyday innovations and success stories developed by the City of Hämeenlinna employees.

Schools identified challenges in processing salary payment forms for teachers and substitutes. Remote work by the Principal and the school secretary required paper forms to be scanned and sent via email, which slowed down the process. We wanted to move from paper forms to an E-form to facilitate the processing of salary claims regardless of location. The E-form solved this problem by speeding up the processing of salary claims and making it smoother for all parties involved.

In addition to salary, a single form can be used to apply for remedial teaching and club hour remunerations. The applicant fills out the form with the necessary details of the work performed, after which it is automatically sent to the Principal for approval and then to the school secretary for further processing and payment.

Introduced in August 2024, the form serves both internal teachers and external substitutes, and it has reduced paperwork, improved processing efficiency, and received positive feedback. The form has also been further refined based on feedback to make it even smoother.
