Smart Work 2026: A Company Visit Form to Support More Systematic Use of Data
The Smart Work page presents everyday innovations and success stories developed by the employees of the City of Hämeenlinna.
A shared company visit form was developed for business coordinators conducting company visits, standardising the ways in which company visit data is collected and reported, and enabling more systematic use of that data. At the same time, the form standardises the content of company visits and improves the customer experience during them.
Business Coordinators gather a great deal of information during company visits that has previously been underused. The form was developed because:
- information is needed on, among other things, the workforce needs, growth plans, and investment plans of local companies
- the content and customer experience of company visits varied depending on who conducted the visit, due to the lack of a shared structure
- information on hidden job vacancies is needed to support employment brokering
- there is a desire to improve company and employer services through service design
Over the long term, the company visit form will build up a rich database that can be used to gather information and anticipate companies’ future recruitment and staff reduction needs, growth, investment, and internationalisation plans, as well as skills and training needs. The data collected through the form can also be used to support the service design of employer and company services. The form was implemented using the E-lomake electronic form system.
What has been achieved and how the work will continue
Over the course of three months, the form has received almost 100 completed responses (note: this includes the July–August holiday season). The responses provide a diverse picture of companies in the employment area, their recruitment and staff reduction needs, growth, investment, and internationalisation plans, as well as their skills and training needs. At the same time, important information has been gathered on companies’ openness to collaboration, participation in public procurement, and mentoring activities. The use of the company visit form has standardised the content of company visits, thereby improving the consistency of quality and the customer experience.
The form will continue to be developed based on user feedback. New questions can be added to the form as needed, or less relevant questions can be removed. A reporting tool will be developed using the data generated by the form.
The company visit form has attracted a great deal of interest across different employment areas. During October, it will be presented to employer and company services staff in, among others, the Espoo-Kauniainen employment area and the South Satakunta employment area.
Johanna Rytilahti and the Business Coordinators planned the structure of the form. Kerttu Valanta defined the form’s structure and data fields. Suvi Karonen was responsible for the technical implementation of the form.
