Smart Work 2027: Substitute teacher’s edu credentials in 15 minutes
The Smart Work page showcases everyday innovations and success stories developed by the City of Hämeenlinna’s employees.
The City of Hämeenlinna previously used shared user accounts for substitute teachers, which no longer met data security requirements. The accounts were discontinued, but the solution that replaced them didn’t adequately meet the everyday needs of schools. I presented the idea to the working group for teaching network development projects.
An easy-to-use Wilma form was built for ordering user accounts for substitute teachers. In addition, faster automation was implemented together with Enter System Solutions Oy. Instead of updating three times a day as before, the information now updates every 15 minutes.
The change is clearly visible in schools’ everyday operations. A short-term substitute teacher can now access the city’s work computer and national digital teaching materials more quickly than before. The work involved in processing substitute teachers’ information has also decreased, and email traffic has been reduced.
The substitute register offers good opportunities for further development. It can serve as the basis for, for example, centralised substitute recruitment. By making use of connections and automation between systems, it will also be possible in the future to streamline processes such as issuing official appointments for substitutes.
