Wilma pupil administration system

Wilma for basic education is an electronic communication and administration system used by schools. Through it, pupils, guardians, and teachers manage school-related matters and communication.

In Wilma, you can, for example:

  • monitor timetables
  • view exams and homework
  • check assessments and absences
  • communicate with teachers and other school staff
  • read bulletins
  • submit absence applications
  • fill in various school forms

In basic education, Wilma is used by:

  • pupils
  • guardians
  • teachers
  • school staff

Pupils in basic education use the same username and password to log in to Wilma as they do when logging in to Airo or a school computer.

New/starting pupils receive their usernames and passwords from their teacher after school begins.

Teachers in basic education use the same username and password to log in to Wilma as they do when logging in to Airo or a work computer at school.

If a primary school pupil has forgotten their username or password, they should contact their class teacher.

If a lower secondary school pupil or upper secondary student has forgotten their username, they should contact their form teacher.

Identify yourself and create a username for Wilma for the first time

Each guardian creates their own Wilma username. The username is the guardian’s email address. The guardian must identify themselves and create a username:

Suomi.fi identification is used for identification. For identification, the guardian must have a mobile certificate, bank credentials, or a certificate card. Only with strong identification can a child be linked to the guardian’s credentials. This is called authorisation. Guardians can only link children for whom they are registered as a guardian in the Population Information System to their own credentials. If there are multiple children, perform the identification separately for each child. We strongly recommend performing the identification in a browser (not in the mobile application). More detailed instructions for creating a guardian account can be found in the Wilma bulletin at https://hameenlinna.inschool.fi.

If creating an account is not possible using Suomi.fi services, the reason may be, for example, a decision made regarding the child’s care. In such cases, guardians must authorise each other to manage the child’s affairs. More information on Suomi.fi authorisations:

  1. Logging in to Wilma

Once you have created a username or if you have an existing username for Hämeenlinna Wilma, you can log in to Wilma at https://hameenlinna.inschool.fi/. You can also use Wilma with the mobile application downloadable from app stores. The Wilma environment for the mobile application is City of Hämeenlinna, Children and Youth Services.

Do you have multiple children in Hämeenlinna basic education and wish to link several children to the same Wilma account?

Linking must be done using the browser version of Wilma on the internet. Linking is not possible with the Wilma mobile application.

In the Wilma accounts/Key codes section, select Guardian information available via the Digital and Population Data Services Agency and then proceed according to the instructions. Note! If you have received a key code from the school, select Key code…. and proceed according to those instructions. Select Settings >> User rights >> Add role >> User rights >> Add role

Linking Wilma accounts from two different education providers is only possible in the mobile application. This applies to guardians who have children in, for example, upper secondary education (e.g., Tawastia) or early childhood education or basic education in another municipality where Wilma is also in use.

In the mobile application, Wilma accounts can be linked regardless of municipality or educational institution. If a guardian has valid Wilma accounts for another Wilma (for example, in a neighbouring municipality or for secondary education) and wishes to link a child in Hämeenlinna basic education to the same Wilma view:

  1. Open the Wilma mobile application.
  2. Select User Accounts from the menu (Android) or the human figure icon in the top left corner (iPhone).
  3. Click the + button.
  4. Click the Select Wilma button.
  5. From the menu, find City of Hämeenlinna, Children and Youth Services.
  6. Log in with the Wilma credentials you created for Hämeenlinna basic education Wilma

This way, you can link different Wilma accounts regardless of municipality or educational institution. Through the User Account page, users can switch between usernames and roles.

Lastensuojelulaitosten työntekijät ja viranomaishuoltajat voivat luoda Wilma-tunnuksen valtuuksien avulla, jos heille on määritetty asiointivaltuudet lapseen väestötietojärjestelmässä. Muussa tapauksessa lastensuojeluyksikön yksikönjohtajan/vastaavan ohjaajan/tmv. tulee tilata työntekijän henkilökohtainen avainkoodi Wilma-tunnusten tekemiseksi ja oppilaan/oppilaiden asioiden hoitamiseksi.

The Wilma account order form is an electronic, secure service form. Identification with bank credentials or a mobile certificate is required for the form, but identification data is not transferred to the service.

The key code is sent as an encrypted email to the person for whom the credentials were ordered. The email address must be a personal (workplace or organisation) email address. On the same form, unit managers/responsible instructors of child welfare units will also report changes in the future, for example, if an employee changes (old Wilma accounts are removed, and a new key code is created for the new employee).
