Applying for event cooperation, requirements and terms

A business or organisation with a valid Business ID may apply for event cooperation. In this context, an event refers to a one-off or annually recurring event that is bound to a time and place, planned and goal-oriented.

Before applying, review the event cooperation requirements and terms, evaluation criteria and application periods.

A prerequisite for event cooperation is an event that complies with sustainability principles and is feasible to implement.

Event cooperation agreements and the funds allocated to them are determined annually according to the budget of the city. Agreements are made within the limits of available funding. Once the funds allocated for a given year have been used, no further agreements will be made for that year.

The city grants each event a maximum of one cooperation, subsidy or grant during the same period. Amount received from the city may cover a maximum of 50% of the event’s total budget.

Event cooperation applications are evaluated comprehensively. The evaluation takes into account the development potential and diversity of events.

Applications are evaluated by the event team of the City of Hämeenlinna, composed of experts from various fields. The event team processes applications at its meetings three times a year.

Applications are processed on the basis of six evaluation criteria. If necessary, the event team may supplement the processing with negotiations and transfer the application to a more suitable form of cooperation.

Applications are evaluated on the basis of the following criteria:

  • Promoting the attractiveness of the city in accordance with the City Strategy and creating a positive image of Hämeenlinna.
  • Visibility locally, nationally and/or internationally.
  • Regional impact: number of visitors, local, regional or international scope, duration of the event in days and utilisation of local partners and subcontractors.
  • Impact on well-being and health, for example promoting physical activity and hobbies, community spirit and equality.
  • Development and growth objectives and the realised growth of previous events.
  • Increasing year-round regional event offerings: the event’s timing during the autumn–spring season.

Event cooperation applications are evaluated at event team meetings three times a year.
